KORVEX + the Android App: A Complete Setup Guide

Android  Beginner · ~15 min read · Updated August 2026

This guide takes you from a blank slate to a working KORVEX setup: a private KORVEX Server running on your office PC, and the KORVEX app on your crew’s phones, all syncing over your shop’s Wi‑Fi. No monthly fees, no account with us, and your job data never leaves gear you own.

KORVEX is a job‑tracking app built for construction and renovation crews — not for an office desk. You track jobs, crew hours, materials, photos, change orders, and customer sign‑off right from the job site. In this self‑hosted setup, one Windows PC at the shop acts as the hub that every phone talks to, so the whole business runs on hardware you already have. Everything here is written for someone who has never opened either app before — if a step is already obvious to you, there’s a “skip ahead” note so you can jump on.

What you’re building

KORVEX has two pieces that work together. The KORVEX Server is a small Windows app that holds your business’s data and hands it out to your phones. The KORVEX app is what your crew uses in the field. They talk to each other over your local Wi‑Fi — nothing goes through the internet or through us.

All job data lives on your PC. Phones pull it down.

You have two ways to run KORVEX. This guide covers the first one.

Option Where your data lives Best for
KORVEX Server (this guide) A Windows PC at your shop Crews who want everything in‑house on one PC, no cloud account needed
Bring‑your‑own‑cloud Your Nextcloud or Google Drive Crews who already pay for cloud storage and want off‑site access

Before you start

You’ll need Notes
A Windows 10/11 PC Stays on during work hours so phones can sync. A shop desktop or an always‑on laptop is perfect.
Your office Wi‑Fi The PC and every phone must be on the same network to pair and sync.
Android phones for the crew One per person who logs work. Each pairs once.
~15–20 minutes One‑time setup. After that, it just runs.
What it costs: both apps are free to try for 30 days with every feature unlocked — no ads, no nag screens. After the trial, a one‑time license keeps each going (about $4.99 each). You buy once and own it; there’s no subscription.

Step 1 — Install KORVEX Server on your office PC

Already installed KORVEX Server? Skip to Step 2.

  1. On the office PC, open the Microsoft Store.
  2. Search for KORVEX Server (publisher HackitzLabs) and click Get / Install. It’s a free download with a 30‑day trial.
  3. When it finishes, open it. KORVEX Server runs quietly in your system tray (the little icons by the clock, bottom‑right).

Tip: You can also reach the Store page from the KORVEX Server app page on this site, which has the download link and the license details.

Step 2 — First‑run setup & your owner password

Already finished the setup wizard and know your owner password? Skip to Step 3.

The very first time it opens, KORVEX Server walks you through a short setup:

  1. Choose where your data lives. The default (C:\KORVEXData) is fine for almost everyone — this is the folder that holds all your jobs, photos, and hours on this PC.
  2. Let it open your network. KORVEX adds a Windows Firewall rule so your phones can reach the server on your local Wi‑Fi. Approve it if Windows asks.
  3. Create your owner password. This is the master key for your whole business — it unlocks the desktop app and it’s what pairs every phone. Pick something strong and write it down somewhere safe.
Important: There’s no “forgot password” email — you self‑host, so only you hold this. If you lose it you’d have to set up fresh. Store it in your password manager or a safe place now.

When setup finishes, the main window opens with a menu down the left side: Dashboard, Jobs, Clients, Crew, Estimates, Photos, Business profile, Email sync, and Server. Click Server — a green dot means it’s running and ready for phones.

Leave the PC on and KORVEX running during work hours (it’s happy minimized in the tray). That’s what lets the phones sync.

Optional but handy: On the Server page you can set a PIN so you don’t have to type the full owner password every time you open the app.

Step 3 — Install the KORVEX app on your phone

Already have the KORVEX app installed? Skip to Step 4.

  1. On each crew phone, open Google Play.
  2. Search KORVEX and tap Install. It’s a free download with a 30‑day trial.
  3. Open it once so it’s ready. You’ll see the KORVEX dashboard.

Step 4 — Pair the phone to your server

Phone already shows your jobs? It’s paired — skip to Step 5.

First, the golden rule: the PC and the phone must be on the same Wi‑Fi (your shop/office network) for pairing. This is a local, private connection.
  1. On the PC: open KORVEX Server → Server page → click Connect a device. A QR code appears.
  2. On the phone: tap the menu (☰, top‑left) → Settings → Connect to Server → point the camera at the QR code on the PC screen.
  3. In a few seconds it pairs, and the phone starts pulling down your business data. Done.
  4. Repeat for each crew phone. Every phone is its own paired device, even though they all share your one owner login.
[Screenshot] Left: PC “Connect a device” QR window. Right: phone Settings → Connect to Server scanning it.

Step 5 — Set who’s using the phone

So that hours and photos are credited to the right person, tell each phone who’s holding it.

  1. On the phone: Settings → Role & PIN.
  2. Pick the crew member this phone belongs to. (If they’re not listed yet, add them under Crew first — see Step 6.)
  3. Optionally set a PIN so the choice can’t be changed by accident.
Why this matters: KORVEX is built so the owner can always see whose photos and hours are whose, tied to each job. Setting the active user is what makes that work.

Step 6 — Add your business, crew, clients & first job

You can enter everything on the phone, but the fastest way is on the PC’s big screen — and it all syncs down to the phones automatically.

  • Business profile: your company name, logo, and contact details. This is what appears on the PDFs and proposals you send customers.
  • Crew: add your people. Include an email for each — it’s used later for the off‑network “Email sync” feature.
  • Clients: add a customer.
  • Jobs: create a job — pick the client, give it a title and a status (Scheduled / In Progress / Complete).
[Screenshot] KORVEX Server → Jobs page with a new job, and the same job appearing on a phone.

Within a few seconds, the new job shows up on every paired phone. That’s the whole idea: enter once, everyone sees it.

Step 7 — Out in the field

Now the crew works the job from their phones. Open the job and you’ll find everything in one place:

  • Time clock — clock in and out; KORVEX totals the hours and shows who’s on the clock.
  • Photos — snap Before / Progress / After / Receipts shots, each tagged to the job and to the person who took it.
  • Materials & notes — log what was used and jot anything worth remembering.
  • Checklist — tick off the steps for the job.
  • Customer sign‑off — capture the customer’s signature against a plain‑language completion statement, and generate a clean PDF summary where you choose exactly what shows (labour, materials, notes, checklist, photos).
[Screenshot] Phone: a job’s photo tab with tagged shots, and the customer sign‑off signature pad.

Step 8 — Sync everything back to the office

When the crew is back on the shop Wi‑Fi, their work flows back to the hub.

  1. On the phone, tap Sync (KORVEX also syncs quietly in the background when it can).
  2. Everything logged in the field — hours, photos, materials, sign‑offs — now appears on the office PC and on every other paired phone.

On the PC you can browse it all: the Photos page shows the actual images each person uploaded, per job, with who took them and when.

Sync is on your terms: it happens over your local network when you tap the button (or in the background on‑network). Keep the office PC on and KORVEX running so there’s always a hub for the phones to reach.

Working off the network (Email sync)

Sometimes a foreman is out on a job all week and never gets back to the shop Wi‑Fi. For that, KORVEX has Email sync (Settings → Email sync on the phone, and an Email sync page on the PC):

  • The worker taps Email my updates to send their week’s photos and hours to the office by email.
  • The office imports that file, and can email updates back for the worker to import on their phone.

Everything still merges safely — nothing is duplicated — so it’s a clean way to bridge the gap until they’re back on the network. (A dedicated Email sync walkthrough is coming as its own guide.)

Test everything

Before you turn the crew loose, confirm the loop works end to end:

  1. On the PC, create a test job. Within seconds it appears on a paired phone. ✔
  2. On the phone, add a photo to that job and clock in for a minute, then tap Sync. ✔
  3. Back on the PC, open the job — the photo and the time entry are there, credited to the right person. ✔
  4. Delete the test job when you’re happy.

If all three worked, you’re live.

Troubleshooting

Symptom Likely cause Fix
Phone won’t scan / pair Phone and PC aren’t on the same Wi‑Fi, or the QR expired Put both on the shop Wi‑Fi; on the PC click Connect a device again for a fresh QR
Nothing syncs The office PC is asleep or KORVEX Server isn’t running Keep the PC awake during work hours and leave KORVEX running in the tray (green dot on the Server page)
Photos/hours don’t appear on the PC The phone hasn’t synced yet Get the phone on the shop Wi‑Fi and tap Sync
Hours credited to the wrong person The phone’s active user isn’t set Phone → Settings → Role & PIN → pick the right crew member
Can’t get into the desktop app Owner password/PIN Use your owner password; the PIN is just a shortcut you set on the Server page
